You have been on Microsoft 365 for 3+ years. Can you show who can open what?

ANSWER Most organizations use roughly 10 to 20% of what their Microsoft 365 subscription can do. In Tampa Bay the gap tends to surface when someone outside IT asks for proof: a contracting officer, a lender's auditor, or an insurance broker. SharePoint is where the answer lives, and where it is usually hardest to produce.
01

Nobody can produce an access report

Ask who can open the contracts or finance site and the answer is a week of manual checking.

02

Regulated files share space with everything else

Controlled defense data, loan files, and client records sit in the same libraries as marketing decks.

03

Contractor accounts outlive the assignment

Vendor and seasonal staff keep access for months after their work ends.

04

The storm plan lives on one laptop

Contact trees, payroll notices, and the list of administrators are not somewhere the team can reach when the office is closed.

SharePoint services we deliver

ANSWER Sunflower Lab delivers nine SharePoint workloads: consulting, implementation, migration, custom development, integration, modernization, governance and permissions, document management, and workflow automation with Power Automate, plus Microsoft 365 Copilot readiness. Every engagement starts with a Health Check.

SharePoint Consulting

Roadmap, current-state assessment, governance design, licensing review, success metrics.

Start with the Health Check →

SharePoint Implementation

Greenfield SharePoint Online tenant build, modern site architecture, hub-and-spoke design, navigation, branding.

Scope a build →

SharePoint Migration

File shares, legacy SharePoint, Google Drive, Box, and Dropbox into SharePoint Online, with metadata and permissions preserved. Regulated content is scoped first, so nothing moves into a tenant that is not allowed to hold it.

Plan the migration →

Custom Development

SPFx web parts and extensions, custom APIs, Teams apps, list and library extensions.

Talk to an engineer →

Integration

Dynamics 365, Power BI, Power Automate, Power Apps, OneDrive, Teams, QuickBase, ERP, CRM.

Map the integrations →

Modernization

Classic to modern, custom master pages retired, branding migrated, navigation rebuilt for adoption.

Modernize the tenant →

Governance & Permissions

Site provisioning that requires an owner, sensitivity labels (tags that control who can open, copy, or share a file), scheduled access reviews, and an access report you can hand to an auditor or broker. Groups carry end dates, so vendor and seasonal access expires on its own.

Fix the permissions →

Document Management

Folder sets created from a template per loan, contract, or client, tagged with record type and date, with retention labels (rules that keep a record for a set number of years) applied by document type, and intelligent document processing on top.

Rebuild the DMS →

Workflow Automation

Power Automate flows on SharePoint lists for approvals, vendor onboarding, and invoice routing, plus alerts 14 days before a contractor assignment or a license ends, escalating to a second person when nobody acts.

Automate a workflow →

SharePoint, Power Platform, and Copilot: one team

ANSWER SharePoint on its own is a place to store files. Inside Microsoft 365, it is the grounding layer for Copilot, the data source for Power BI, the storage for Power Automate flows, and the back-end for Power Apps. Sunflower Lab builds and operates all of it as one team, not five vendors.
  • Copilot grounding. Microsoft 365 Copilot uses SharePoint as its top grounding source. Messy sites mean messy answers.
  • Power Automate on lists. Approvals, inspections, and vendor workflows, proven at Dominion Engineering. Power Automate in Tampa →
  • Power Apps on top. SharePoint lists become mobile-friendly internal tools, proven at AMOT and MAI. Power Apps in Tampa →
  • Power BI source of truth. SharePoint as a sanctioned data source for governed reporting.
  • SharePoint Agents and Copilot Agents. Custom agents grounded in your tenant with permission awareness.

Power Platform: Power Automate · Power Apps · Power BI · Power Pages build
SharePoint Online: Sites · Lists · Libraries · Hub architecture knowledge

SharePoint + Power BI: One Governed Data Layer

SharePoint + Power BI: One Governed Data Layer, Not Five Spreadsheets

ANSWER Power BI is only as trustworthy as the data feeding it. SharePoint lists and libraries, governed correctly, are a clean, permissioned source Power BI can report from directly, with no manual exports, no shadow spreadsheets, and no meeting to argue whose number is right. Sunflower Lab connects SharePoint content straight into Power BI so leadership sees one number.

What we build

  • Power BI dashboards sourced directly from SharePoint lists and document metadata
  • Row-level security mapped to existing SharePoint permission groups
  • Branch, department, or clinician-level views from one governed dataset
  • Automatic flags for outliers: cost overruns, overdue approvals, missing documents

Real SharePoint work: named clients, real numbers

ANSWER Two Sunflower Lab SharePoint engagements with numbers behind them, neither delivered in Tampa. The document, workflow, and reporting patterns are the ones the questions below describe: Dominion Engineering (Nuclear Electric Power Generation), with a 90% workflow efficiency gain and 60 hours a month returned, and Connect Pediatrics (US pediatric practice), with real-time labor and margin reporting built on SharePoint.
CASE STUDY: MANUFACTURING / NUCLEAR ENERGY

Dominion Engineering: 60 hours a month, returned

A Nuclear Electric Power Generation company partnered with Allied Power. Manual product receipt and inspection workflow ate about 60 hours every month, with data spread across Dynamics 365, Excel, and QuickBase. What we built: SharePoint Dashboard, Power Automate flows triggered by Dynamics 365 receipts, auto-attachment from Teams folders to the right Purchase Order in SharePoint, and filtered SharePoint URLs so vendors see only their POs.

CASE STUDY: CONNECT PEDIATRICS

Real-time labor & margin visibility across a multi-branch pediatric practice

Connect Pediatrics had no patient-level visibility into revenue, payroll cost, labor %, staffing %, overtime exposure, or outliers. This led to rising labor cost, decreasing staffing efficiency, and margin risk buried in manual reports. We built a Power BI dashboard on SharePoint with branch, patient, and clinician-level views, plus outlier detection for high labor %, excessive overtime, and low staffing.

How we deliver a SharePoint engagement

ANSWER Four phases: Assess (1 to 2 weeks) → Architect (1 to 2 weeks) → Build (2 to 6 weeks) → Adopt & Operate (ongoing). A focused SharePoint build typically ships in 4 to 8 weeks. Every engagement begins with the Health Check.
01

Assess

Tenant audit, governance assessment, content inventory, integration map, success metrics. For Tampa tenants this includes an access report listing site owners, external guests, anyone-links, and administrator accounts.

1 to 2 weeks
02

Architect

Information architecture, permission model, migration map, governance framework, AI-readiness checklist. We decide which content needs its own boundary, such as controlled defense data or loan files, before any file moves.

1 to 2 weeks
03

Build

Site build, SPFx components, Power Automate flows, Power Apps front ends, migration, integrations. Group-based access, record templates, and a storm-response site are built once, then reused.

2 to 6 weeks
04

Adopt & Operate

Training, documentation, change management, performance monitoring, optional managed support. Access reviews and end-date alerts run on a schedule, not on memory.

SharePoint in Tampa: six questions worth asking before you sign

TL;DR Tampa Bay buyers usually ask what they can prove, to whom, and how fast, before they ask about price. A Health Check starts at $5K, migrations run 4 to 10 weeks, and Copilot readiness is a governance and permission problem, not a licensing one.
Our Tampa company supports MacDill Air Force Base or another defense customer. Can SharePoint hold controlled unclassified information (CUI), or does that need a different Microsoft 365 tenant?
It depends on the contract clause, so the first step is a written scoping decision, not a build. Controlled unclassified information (CUI, government data that is marked for protection but not classified) is often required to live in Microsoft 365 GCC High (a separate government cloud environment), not the standard commercial tenant. Sunflower Lab maps which teams and folders actually touch CUI, then recommends one of three paths: keep CUI out of SharePoint, isolate it in a small GCC High tenant, or move the whole company. Bring your prime contractor flow-down language and your CMMC (Cybersecurity Maturity Model Certification) level to the first call.
When a hurricane closes our Tampa Bay office, what should already be set up in SharePoint so work keeps moving?
Four things. A storm-response site that opens on a phone, with the contact tree, shelter and payroll notices, and vendor numbers. Document libraries synced to laptops so active files work offline. Version history and the recycle bin, which holds deleted items for 93 days across both stages, so a bad overwrite during a chaotic week can be undone. And a written list of who holds administrator rights if the usual administrator has evacuated. Sunflower Lab builds the storm site and the administrator list inside a Focused Build and tests both before June 1, when the Atlantic hurricane season starts.
Can SharePoint hold loan and closing files for a Tampa mortgage servicer, lender, or title agency, with retention rules and audit exports?
Yes, with a defined structure. Each loan or closing file becomes a folder set created from a template and tagged with loan number, document type, and closing date. Retention labels (rules that keep a record for a set number of years, then flag it for review) apply by document type, so a closing package and a marketing email do not share one clock. Access stays with the assigned team, and audit logs show who opened or changed a file. Your compliance counsel sets the retention periods. Sunflower Lab configures them and builds the export an examiner can read.
Our Tampa insurance broker asked for proof of access controls at cyber insurance renewal. What can a SharePoint Health Check hand over?
It produces documents you can forward, not just a score. The report lists every site with its owner, every external guest and the sites that guest can reach, every file shared with anyone who has the link, and every account with administrator rights, each with counts and dates. It also names controls you already license but have switched off, such as multifactor authentication (a second sign-in check) for guests. Findings come with a fix order, and fixed items can be exported again for the renewal file. Carrier questionnaires differ, so bring yours. The Health Check runs 1 to 2 weeks at $5,000 to $10,000.
Sunflower Lab has no Tampa office. How do you work inside our Microsoft 365 tenant without holding a permanent administrator account?
Access is granted per engagement and per role. Each engineer signs in with a named account through your Microsoft Entra ID (Microsoft sign-in service) and receives only the SharePoint administrator or site owner rights the current phase needs. If you license Privileged Identity Management, elevated roles can require your approval and expire automatically. Work runs on Eastern time. Our nearest office is Miami, about 280 miles away, and we can discuss an in-person kickoff on the first call. Access ends on the closing date, and you receive a list of every permission we held.
Our Tampa shared-services or back-office center brings in vendor and seasonal staff constantly. How do we stop SharePoint access from outliving the assignment?
Tie every permission to a group with an end date, not to a person. Contractors and seasonal staff join a Microsoft Entra group (a managed list of accounts) created for the assignment, that group alone is granted access to sites, and an access review (a scheduled prompt asking the group owner to confirm who stays) removes anyone not re-approved. A Power Automate flow alerts the manager 14 days before an assignment ends. Sunflower Lab builds the groups, the review schedule, and the flow, and runs a first cleanup of accounts that already outlived their work.
