You have been on Microsoft 365 for 3+ years. Could an auditor find the current version of anything?

ANSWER Most mid-market organizations use roughly 10 to 20% of what their Microsoft 365 subscription can do. In Dayton, the gap shows up in documents that get audited: drawings and procedures that must be the current revision, public records that must be kept and produced on request, and board packets that must be assembled the same way every month. The four cards below are the pattern we see on first calls.
01

Nobody can name the current revision

Drawings, work instructions, and procedures sit on a plant server, in Teams, and in email, so the shop floor sometimes works from an old copy.

02

Records have no clock

Retention is a habit instead of a setting, so files are either kept forever or deleted by whoever cleans up first.

03

An old SharePoint farm still runs approvals

On-premises SharePoint 2016 or 2019, InfoPath forms, and 2013 workflows are running past their support dates.

04

The person who knows where it is retires

Files and context live in one person's OneDrive and desktop folders, and nobody else knows the structure.

SharePoint services we deliver

ANSWER Sunflower Lab delivers nine SharePoint workloads: consulting, implementation, migration, custom development, integration, modernization, governance and permissions, document management, and workflow automation with Power Automate, plus Microsoft 365 Copilot readiness. Every engagement starts with a Health Check.

SharePoint Consulting

Roadmap, current-state assessment, governance design, licensing review, success metrics.

Start with the Health Check →

SharePoint Implementation

Greenfield SharePoint Online tenant build, modern site architecture, hub-and-spoke design, navigation, branding.

Scope a build →

SharePoint Migration

File shares, legacy SharePoint, Google Drive, Box, and Dropbox into SharePoint Online, with metadata and permissions preserved. For Dayton teams still on SharePoint Server 2016 or 2019, Microsoft support for those versions ended in July 2026, so planning starts with an inventory of the forms and workflows that will not move as they are.

Plan the migration →

Custom Development

SPFx web parts and extensions, custom APIs, Teams apps, list and library extensions.

Talk to an engineer →

Integration

Dynamics 365, Power BI, Power Automate, Power Apps, OneDrive, Teams, QuickBase, ERP, CRM.

Map the integrations →

Modernization

Classic to modern, custom master pages retired, branding migrated, navigation rebuilt for adoption. InfoPath forms and SharePoint 2013 workflows are rebuilt as Power Apps and Power Automate flows, because Microsoft removed 2013 workflows from existing Microsoft 365 tenants on April 2, 2026.

Modernize the tenant →

Governance & Permissions

Site provisioning, naming, retention, eDiscovery readiness, oversharing detection, sensitivity labels. Retention labels and holds for public agencies and regulated firms, so records are kept for the required period and found when a request arrives.

Fix the permissions →

Document Management

Metadata model, retention, records management, intelligent document processing on top. For controlled documents, that means major and minor versions, an approval flow before a revision goes live, and a review date on every procedure, so an ISO 9001 or AS9100 auditor can see which revision was current on a given day. SharePoint holds the controlled copy and the evidence. It does not replace a validated quality system if your customers require one.

Rebuild the DMS →

Workflow Automation

Power Automate flows on SharePoint lists for approvals, inspections, vendor onboarding, invoice routing.

Automate a workflow →

SharePoint, Power Platform, and Copilot: one team

ANSWER SharePoint on its own is a place to store files. Inside Microsoft 365, it is the grounding layer for Copilot, the data source for Power BI, the storage for Power Automate flows, and the back-end for Power Apps. Sunflower Lab builds and operates all of it as one team, not five vendors.
  • Copilot grounding. Microsoft 365 Copilot uses SharePoint as its top grounding source. Messy sites mean messy answers.
  • Power Automate on lists. Approvals, inspections, vendor workflows, proven at Dominion Engineering. In Dayton, this is also where retired SharePoint 2013 workflows get rebuilt. Power Automate in Dayton →
  • Power Apps on top. SharePoint lists become mobile-friendly internal tools, proven at AMOT and MAI. Power Apps in Dayton →
  • Power BI source of truth. SharePoint as a sanctioned data source for governed reporting.
  • SharePoint Agents and Copilot Agents. Custom agents grounded in your tenant with permission awareness.

SharePoint + Power BI: One Governed Data Layer

SharePoint + Power BI: One Governed Data Layer, Not Five Spreadsheets

ANSWER Power BI is only as trustworthy as the data feeding it. SharePoint lists and libraries, governed correctly, are a clean, permissioned source Power BI can report from directly, with no manual exports, no shadow spreadsheets, and no meeting to argue whose number is right. Sunflower Lab connects SharePoint content straight into Power BI so leadership sees one number.

What we build

  • Power BI dashboards sourced directly from SharePoint lists and document metadata
  • Row-level security mapped to existing SharePoint permission groups
  • Branch, department, or clinician-level views from one governed dataset
  • Automatic flags for outliers: cost overruns, overdue approvals, missing documents
  • Document control dashboards showing procedures past their review date and revisions waiting for approval, by plant or department

Real SharePoint work: named clients, real numbers

ANSWER Two representative Sunflower Lab SharePoint engagements: Dominion Engineering (Nuclear Electric Power Generation), with a 90% workflow efficiency gain and 60 hours a month returned; and Connect Pediatrics (US pediatric practice, closed-won 2026), a Microsoft 365 based document and billing workflow build with the COO, CEO, and Director of Billing and Collections on the deal team. Both were delivered for clients outside Dayton. They are shown because the same patterns apply to Dayton manufacturers and multi-site service organizations.
CASE STUDY: MANUFACTURING / NUCLEAR ENERGY

Dominion Engineering: 60 hours a month, returned

A Nuclear Electric Power Generation company partnered with Allied Power. Manual product receipt and inspection workflow ate about 60 hours every month, with data spread across Dynamics 365, Excel, and QuickBase. What we built: SharePoint Dashboard, Power Automate flows triggered by Dynamics 365 receipts, auto-attachment from Teams folders to the right Purchase Order in SharePoint, and filtered SharePoint URLs so vendors see only their POs.

Delivered for a client outside Dayton. Shown because the receiving and inspection records it automates match what many Dayton manufacturers keep for their customers.

CASE STUDY: CONNECT PEDIATRICS

Real-time labor & margin visibility across a multi-branch pediatric practice

Connect Pediatrics had no patient-level visibility into revenue, payroll cost, labor %, staffing %, overtime exposure, or outliers. This led to rising labor cost, decreasing staffing efficiency, and margin risk buried in manual reports. We built a Power BI dashboard on SharePoint with branch, patient, and clinician-level views, plus outlier detection for high labor %, excessive overtime, and low staffing.

Delivered for a client outside Dayton. Shown for Dayton healthcare and multi-site service organizations that need labor and margin visibility by site.

Six SharePoint questions Dayton teams ask when documents get audited

TL;DR SharePoint consulting for Dayton organizations covers document control, records retention, legacy SharePoint migration, and Copilot readiness. Health Check starts at $5K. Delivered from our Hilliard, Ohio office, about 70 miles from Dayton. Sunflower Lab is a Microsoft Solutions Partner.
Our Dayton precision manufacturing or aerospace supplier is audited to ISO 9001 or AS9100. Can SharePoint hold our controlled drawings, procedures, and training records?
Yes for the controlled documents themselves, with one boundary. SharePoint can hold drawings, work instructions, and procedures with major and minor versions, an approval flow before a revision goes live, a review date on every document, and a history of who changed what and when. An auditor can then see which revision was current on a given day. SharePoint does not replace a validated quality management system if a customer requires one, and we say so during the Health Check. Training sign-offs can sit in a list tied to each procedure, built with Power Apps or Power Automate. Book the Health Check →
We run a Dayton-area city department, township, school district, or housing agency. How does SharePoint handle public records requests and retention schedules?
SharePoint can apply retention labels that keep a record for a set period and then flag it for review or disposal, and it can place a hold on records tied to a pending request or dispute. Search across sites helps staff find responsive records faster than opening mailboxes and shared drives one at a time. The retention periods come from your records commission or counsel, not from us, so we build the labels around the schedule you already follow. We do not give legal advice on what must be kept or produced. Book the Health Check →
Our Dayton plant still runs SharePoint Server 2016 or 2019 with InfoPath forms and 2013 workflows. What gets moved and what gets rebuilt?
Document libraries and lists move to SharePoint Online with metadata and permissions preserved. Forms and workflows do not move as they are. InfoPath forms and SharePoint 2013 workflows are rebuilt as Power Apps and Power Automate flows, and Microsoft removed 2013 workflows from existing Microsoft 365 tenants on April 2, 2026. Microsoft ended support for SharePoint Server 2016 and 2019 in July 2026, so those farms no longer receive security fixes. We start with an inventory of every form and workflow, ranked by how many people depend on it, so the rebuild order is clear before a price is set. Plan the migration →
A longtime Dayton employee is retiring and most of what they know sits in their OneDrive and desktop folders. How do we capture it before the last day?
Capture starts before the last day, not after. We help the team move working files from the personal OneDrive into the right team site, add metadata so others can find them, and note where each live file now sits. After an account is deleted, Microsoft keeps its OneDrive for 30 days by default and gives the manager access, so that window is easy to miss. We help set the retention period and a secondary owner so nothing is lost by default. Files saved only on a laptop drive are outside all of this and need to be copied first. Book the Health Check →
Our Dayton credit union, foundation, or nonprofit assembles board and committee packets every month and answers auditor request lists. Can SharePoint run that?
Yes. A board site can hold the packet library, agendas, minutes, and approved policies, with a restricted area for directors and a separate area for staff. A Power Automate flow can collect the report from each owner by a deadline, assemble the packet, and route it for review. For audits, a request tracker with an owner and a due date per item replaces the spreadsheet that gets emailed around. We do not advise on what an examiner or auditor may require, so the request list comes from you. Scope a build →
Our Dayton engineering team runs each customer program in a Teams channel, and some channels are private. Where do those files actually live, and who can open them?
Every Teams team has a SharePoint site behind it, and each private channel gets its own separate SharePoint site with its own member list. Being on the team does not mean being able to open the files in a private channel. For customer programs that hold pricing or cost data, that separation is useful, and it also means permissions are set in several places. We map each program to its sites, name an owner for each one, and review membership on a schedule so a finished program does not stay open to everyone who once joined it. Book the Health Check →
