You have been on Microsoft 365 for 3+ years. Who still has access to last year's project files?

ANSWER Most mid-market organizations use roughly 10 to 20% of what their Microsoft 365 subscription can do. In Cleveland, the gap shows up in files that run on a clock: submission packages sent to customers, project sites that never close, client documents shared by link, and purchase orders retyped from PDFs. The four cards below are the pattern we see on first calls.
01

Packages get rebuilt every time

A customer submission is assembled from scratch each cycle, and nobody can say which copy was actually sent.

02

Projects never close

Event, rehab, and deal sites keep their outside guests long after the work ends.

03

Sensitive files travel by link

Returns, statements, and deal documents leave by attachment or an open sharing link.

04

Orders get retyped

Purchase orders arrive as PDFs in different layouts, and a person keys each one into the ERP.

SharePoint services we deliver

ANSWER Sunflower Lab delivers nine SharePoint workloads: consulting, implementation, migration, custom development, integration, modernization, governance and permissions, document management, and workflow automation with Power Automate, plus Microsoft 365 Copilot readiness. Every engagement starts with a Health Check.

SharePoint Consulting

Roadmap, current-state assessment, governance design, licensing review, success metrics.

Start with the Health Check →

SharePoint Implementation

Greenfield SharePoint Online tenant build, modern site architecture, hub-and-spoke design, navigation, branding. For Cleveland venues and developers, one site template per event or property, so every project starts with the same libraries.

Scope a build →

SharePoint Migration

File shares, legacy SharePoint, Google Drive, Box, and Dropbox into SharePoint Online with metadata and permissions preserved.

Plan the migration →

Custom Development

SPFx web parts and extensions, custom APIs, Teams apps, list and library extensions.

Talk to an engineer →

Integration

Dynamics 365, Power BI, Power Automate, Power Apps, OneDrive, Teams, QuickBase, ERP, CRM.

Map the integrations →

Modernization

Classic to modern, custom master pages retired, branding migrated, navigation rebuilt for adoption.

Modernize the tenant →

Governance & Permissions

Site provisioning, naming, retention, eDiscovery readiness (finding records for legal requests), oversharing detection, and sensitivity labels (tags that control who can open or forward a file). For Cleveland firms, outside access ends on a date, and files holding Social Security numbers are checked before they leave.

Fix the permissions →

Document Management

Metadata model, retention, records management, and intelligent document processing on top. For Cleveland suppliers, each customer submission is one bundle with a locked copy of what was sent.

Rebuild the DMS →

Workflow Automation

Power Automate flows on SharePoint lists for approvals, inspections, vendor onboarding, and invoice routing. For Cleveland job shops and distributors, purchase order PDFs are read into a list for review before they reach the ERP.

Automate a workflow →

SharePoint, Power Platform, and Copilot: one team

ANSWER SharePoint on its own is a place to store files. Inside Microsoft 365, it is the grounding layer for Copilot, the data source for Power BI, the storage for Power Automate flows, and the back-end for Power Apps. Sunflower Lab builds and operates all of it as one team, not five vendors.
  • Copilot grounding. Microsoft 365 Copilot uses SharePoint as its top grounding source. Messy sites mean messy answers.
  • Power Automate on lists. Approvals, inspections, vendor workflows, proven at Dominion Engineering.
  • Power Apps on top. SharePoint lists become mobile-friendly internal tools, proven at AMOT and MAI.
  • Power BI source of truth. SharePoint as a sanctioned data source for governed reporting.
  • SharePoint Agents and Copilot Agents. Custom agents grounded in your tenant with permission awareness.

Power Platform: Power Automate · Power Apps · Power BI · Power Pages build
SharePoint Online: Sites · Lists · Libraries · Hub architecture knowledge
Microsoft 365: Teams · OneDrive · Outlook · Entra ID platform
SharePoint + Power BI: One Governed Data Layer

SharePoint + Power BI: One Governed Data Layer, Not Five Spreadsheets

ANSWER Power BI is only as trustworthy as the data feeding it. SharePoint lists and libraries, governed correctly, are a clean, permissioned source Power BI can report from directly, with no manual exports, no shadow spreadsheets, and no meeting to argue whose number is right. Sunflower Lab connects SharePoint content straight into Power BI so leadership sees one number.

What we build

  • Power BI dashboards sourced directly from SharePoint lists and document metadata
  • Row-level security mapped to existing SharePoint permission groups
  • Branch, department, or clinician-level views from one governed dataset
  • Automatic flags for outliers: cost overruns, overdue approvals, missing documents
  • Close-out views for project sites past their end date that still hold outside guests, retention clocks that have not started, and submission packages awaiting approval

Real SharePoint work: named clients, real numbers

ANSWER Two representative Sunflower Lab SharePoint engagements: Dominion Engineering (Nuclear Electric Power Generation), with a 90% workflow efficiency gain and 60 hours a month returned; and Connect Pediatrics (US pediatric practice, closed-won 2026), a Microsoft 365 based document and billing workflow build with the COO, CEO, and Director of Billing and Collections on the deal team. Both were delivered for clients outside Cleveland.
CASE STUDY: MANUFACTURING / NUCLEAR ENERGY

Dominion Engineering: 60 hours a month, returned

A Nuclear Electric Power Generation company partnered with Allied Power. Manual product receipt and inspection workflow ate about 60 hours every month, with data spread across Dynamics 365, Excel, and QuickBase. What we built: SharePoint Dashboard, Power Automate flows triggered by Dynamics 365 receipts, auto-attachment from Teams folders to the right Purchase Order in SharePoint, and filtered SharePoint URLs so vendors see only their POs.

Delivered for a client outside Cleveland. Shown because the receipt-to-purchase-order attachment is the same pattern that lets a submission package assemble itself as documents arrive.

CASE STUDY: CONNECT PEDIATRICS

Real-time labor & margin visibility across a multi-branch pediatric practice

Connect Pediatrics had no patient-level visibility into revenue, payroll cost, labor %, staffing %, overtime exposure, or outliers. This led to rising labor cost, decreasing staffing efficiency, and margin risk buried in manual reports. We built a Power BI dashboard on SharePoint with branch, patient, and clinician-level views, plus outlier detection for high labor %, excessive overtime, and low staffing.

Delivered for a client outside Cleveland. Shown for Cleveland multi-location practices and service firms that want one exception view across sites.

Six SharePoint questions Cleveland teams ask when a project has a deadline

TL;DR SharePoint consulting for Cleveland organizations covers customer part approval packages, historic rehab records, event sites, client document protection, purchase order intake, and sale data rooms. Health Check starts at $5K. Delivered from our Hilliard, Ohio office, about 145 miles from Cleveland. Sunflower Lab is a Microsoft Solutions Partner.
Our Cleveland-area automotive supplier sends a production part approval process (PPAP) package to each customer, and nobody can say which version we submitted. Can SharePoint fix that?
Yes. We build each submission as a Document Set, a SharePoint bundle that holds every element of the package (dimensional results, material certificates, control plan, process flow) under shared fields such as part number, customer, and revision. When the package is released, SharePoint captures a version of the whole set, so you can open exactly what the customer received. Approvals run in Power Automate before release. Two limits: SharePoint stores and tracks the package but does not replace your quality system, and some customers still require upload through their own portal. Scope a package build →
We develop and rehabilitate older buildings in downtown Cleveland and apply for historic tax credits. Can SharePoint keep each property file intact until the credit risk window closes?
Yes. Each property gets its own site holding applications, photographs, cost certifications, and agency correspondence. A retention label (a tag that blocks deletion and editing) can be set to count from an event, such as the date the building is placed in service, instead of from the day a file was created. Federal rules include a five-year recapture period, so the start date matters, and your tax advisor should confirm it along with any state program rules. We build the event trigger and an audit export. We do not give tax advice. Book the Health Check →
Our Cleveland theater, arena, or convention venue hosts a new touring production every week and shares stage plots, riders, and load-in schedules with outside crews. How do we keep each event separate and shut it down afterward?
Create each event from a SharePoint site template, so every show starts with the same libraries for contracts, technical riders, stage plots, and credential lists. Outside promoters and crew join as guests with an access end date set to the last day of the event. After that date, the site switches to read-only, guest accounts are removed, and a retention label keeps the settlement documents for the period your finance team sets. Power Automate can create the site the moment a booking is marked confirmed in your calendar list. Plan an event site →
Our Cleveland tax and wealth advisory firm swaps returns and statements with clients during filing season. What stops a Social Security number from leaving in the wrong sharing link?
Microsoft Purview data loss prevention (DLP), which scans files for patterns such as Social Security and bank account numbers, can warn a staff member or block an external share before it goes out. We pair it with sensitivity labels, so a file marked Client Confidential can only be shared with approved client guests, and with links that expire after a set number of days. DLP catches common patterns, not every sensitive file, so we test it on sample documents first. Which DLP features you can use depends on your Microsoft 365 license, which the Health Check confirms. Review my sharing controls →
Our Cleveland job shop receives purchase orders as PDFs from about 60 customers, each laid out differently, and someone retypes them into the ERP. Can SharePoint read them?
Partly. SharePoint Premium document processing can be trained on sample purchase orders for each layout, then pull fields such as customer, part number, quantity, and due date into a SharePoint list. Fields the model is unsure about go to a person for review instead of passing through. Your ERP stays the system of record: we connect the reviewed list to it with Power Automate, or to Dynamics 365 Business Central. Expect to start with your five or ten highest-volume customers rather than all 60. Processing is billed by usage, which we estimate in the Health Check. Scope order intake →
We are selling our Cleveland family-owned manufacturing company, and the buyer wants a data room. Can SharePoint be the data room, and can we see who opened what?
Yes for many mid-size deals. We build a dedicated site with folders that mirror the buyer diligence list, give each bidder a separate guest group so one bidder cannot see another, and use view-only links that block downloading. The Microsoft Purview audit log records who opened which file and when, which helps your advisors answer questions during the process. View-only does not stop someone photographing a screen, and some deals require a purpose-built data room product with watermarks, so confirm with your M&A advisor. After closing, we close the site and keep the audit record. Plan a data room →
