You have been on Microsoft 365 for 3+ years. Do your files stay where they belong once they leave the building?

ANSWER Most mid-market organizations use roughly 10 to 20% of what their Microsoft 365 subscription can do. In Cincinnati, the gap shows up where files cross a company line: specs and certificates sent to customers, photos and receipts captured on phones, study records handed to auditors, and shop files that never left the server. The four cards below are the pattern we see on first calls.
01

Customers get attachments

Spec sheets, certificates, and insurance documents go out by email, and nobody can say which copy is current.

02

Evidence lives on phones

Photos of damaged freight, signed receipts, and inspection shots sit in camera rolls and text threads.

03

The server never retired

One file server still holds files that machines and legacy tools depend on, mixed in with files people need to share.

04

Policy answers vary by shift

Hourly staff ask a supervisor where the current policy is, so the answer depends on who is working.

SharePoint services we deliver

ANSWER Sunflower Lab delivers nine SharePoint workloads: consulting, implementation, migration, custom development, integration, modernization, governance and permissions, document management, and workflow automation with Power Automate, plus Microsoft 365 Copilot readiness. Every engagement starts with a Health Check.

SharePoint Consulting

Roadmap, current-state assessment, governance design, licensing review, success metrics.

Start with the Health Check →

SharePoint Implementation

Greenfield SharePoint Online tenant build, modern site architecture, hub-and-spoke design, navigation, branding.

Scope a build →

SharePoint Migration

File shares, legacy SharePoint, Google Drive, Box, and Dropbox move into SharePoint Online with metadata and permissions preserved. For Cincinnati manufacturers, we first sort each share into moves, stays, or connects, so files that machines read by network path stay where they are.

Plan the migration →

Custom Development

SPFx web parts and extensions, custom APIs, Teams apps, list and library extensions.

Talk to an engineer →

Integration

Dynamics 365, Power BI, Power Automate, Power Apps, OneDrive, Teams, QuickBase, ERP, CRM.

Map the integrations →

Modernization

Classic to modern, custom master pages retired, branding migrated, navigation rebuilt for adoption.

Modernize the tenant →

Governance & Permissions

Site provisioning, naming, retention, eDiscovery readiness (finding records for legal requests), oversharing detection, and sensitivity labels (tags that control who can open or forward a file). For companies sharing with customers, we set guest access that expires.

Fix the permissions →

Document Management

Metadata model, retention, records management, and intelligent document processing on top. For Cincinnati suppliers, one approved current revision of each spec sheet and certificate, with a reminder before it expires.

Rebuild the DMS →

Workflow Automation

Power Automate flows on SharePoint lists for approvals, inspections, vendor onboarding, and invoice routing. For freight and warehouse teams, phone photos and receipts are tagged with a shipment number as they arrive.

Automate a workflow →

SharePoint, Power Platform, and Copilot: one team

ANSWER SharePoint on its own is a place to store files. Inside Microsoft 365, it is the grounding layer for Copilot, the data source for Power BI, the storage for Power Automate flows, and the back-end for Power Apps. Sunflower Lab builds and operates all of it as one team, not five vendors.
  • Copilot grounding. Microsoft 365 Copilot uses SharePoint as its top grounding source. Messy sites mean messy answers.
  • Power Automate on lists. Approvals, inspections, vendor workflows, proven at Dominion Engineering.
  • Power Apps on top. SharePoint lists become mobile-friendly internal tools, proven at AMOT and MAI.
  • Power BI source of truth. SharePoint as a sanctioned data source for governed reporting.
  • SharePoint Agents and Copilot Agents. Custom agents grounded in your tenant with permission awareness.

Power Platform: Power Automate · Power Apps · Power BI · Power Pages build
SharePoint Online: Sites · Lists · Libraries · Hub architecture knowledge

SharePoint + Power BI: One Governed Data Layer

SharePoint + Power BI: One Governed Data Layer, Not Five Spreadsheets

ANSWER Power BI is only as trustworthy as the data feeding it. SharePoint lists and libraries, governed correctly, are a clean, permissioned source Power BI can report from directly, with no manual exports, no shadow spreadsheets, and no meeting to argue whose number is right. Sunflower Lab connects SharePoint content straight into Power BI so leadership sees one number.

What we build

  • Power BI dashboards sourced directly from SharePoint lists and document metadata
  • Row-level security mapped to existing SharePoint permission groups
  • Branch, department, or clinician-level views from one governed dataset
  • Automatic flags for outliers: cost overruns, overdue approvals, missing documents
  • Expiry and exception views for supplier certificates, claim photos missing a shipment number, and policies past their review date

Real SharePoint work: named clients, real numbers

ANSWER Two representative Sunflower Lab SharePoint engagements: Dominion Engineering (Nuclear Electric Power Generation), with a 90% workflow efficiency gain and 60 hours a month returned; and Connect Pediatrics (US pediatric practice, closed-won 2026), a Microsoft 365 based document and billing workflow build with the COO, CEO, and Director of Billing and Collections on the deal team. Both were delivered for clients outside Cincinnati.
CASE STUDY: MANUFACTURING / NUCLEAR ENERGY

Dominion Engineering: 60 hours a month, returned

A Nuclear Electric Power Generation company partnered with Allied Power. Manual product receipt and inspection workflow ate about 60 hours every month, with data spread across Dynamics 365, Excel, and QuickBase. What we built: SharePoint Dashboard, Power Automate flows triggered by Dynamics 365 receipts, auto-attachment from Teams folders to the right Purchase Order in SharePoint, and filtered SharePoint URLs so vendors see only their POs.

Delivered for a client outside Cincinnati. Shown because the vendor-filtered purchase order view is the same pattern a Cincinnati supplier needs when a customer asks to see only its own documents.

CASE STUDY: CONNECT PEDIATRICS

Real-time labor & margin visibility across a multi-branch pediatric practice

Connect Pediatrics had no patient-level visibility into revenue, payroll cost, labor %, staffing %, overtime exposure, or outliers. This led to rising labor cost, decreasing staffing efficiency, and margin risk buried in manual reports. We built a Power BI dashboard on SharePoint with branch, patient, and clinician-level views, plus outlier detection for high labor %, excessive overtime, and low staffing.

Delivered for a client outside Cincinnati. Shown for Cincinnati healthcare and multi-site service organizations that need labor and margin visibility by site.

Six SharePoint questions Cincinnati teams ask when files leave the building

TL;DR SharePoint consulting for Cincinnati organizations covers customer file sharing, claims and study records, shop-floor file boundaries, policy agents, and recovery planning. Health Check starts at $5K. Delivered from our Hilliard, Ohio office, about 100 miles from Cincinnati. Sunflower Lab is a Microsoft Solutions Partner.
Our Cincinnati food or consumer-goods supplier sells to large retailers and brand owners whose auditors ask for spec sheets, allergen statements, and certificates. How do we share them without emailing attachments?
Build one external-facing library for those documents and share it through guest accounts (named outside people given limited access), not open links. Each customer gets view-only access to its own folder, access that ends on a set date, and a sensitivity label (a tag that controls who can open or forward a file). An approval step keeps only the current revision visible, and a Power Automate flow warns your team 60 days before a certificate expires. One boundary: many large retailers require uploads into their own supplier portal, so SharePoint becomes the source you upload from, not a replacement for that portal. Book the Health Check →
Our Cincinnati-area freight, third-party logistics, or warehouse team photographs damaged freight and signed receipts on phones. Where should those photos live so the claims team can find the right one?
Photos should land in a SharePoint library through a Power Apps capture form or a Power Automate flow, not stay in personal camera rolls. The form asks for the shipment number, dock, and photo type, then stamps those answers on the file as metadata (searchable labels), so claims staff search by shipment instead of scrolling filenames. Indexed columns keep views fast as the library grows, and a retention rule keeps each photo for your claim window before flagging it for review. Ask your carrier and insurer how long they require evidence to be kept, and we build the rule around their answer.
A Cincinnati hospital or university research team runs several studies and keeps IRB approvals, investigator credentials, and training records in shared folders. Can SharePoint serve as the study file?
For investigator-initiated or departmental studies it can, if your institution allows it. One site per study can hold a folder for each regulatory document type, version history on every approval, expiry dates on credentials and training, and a delegation log kept as a list. The boundary: SharePoint is not a validated electronic regulatory system under FDA 21 CFR Part 11 out of the box, and many institutions and sponsors require their own. If yours does, SharePoint still holds the supporting files around it. Your compliance office decides which rule applies. We build to its answer and do not advise on regulatory requirements.
Our Cincinnati machine shop keeps CAD models and CNC programs on a file server that machine controllers read directly. What should stay off SharePoint?
Keep anything a machine reads by network path, such as CNC programs on a shop-floor share, on the file server or a hybrid file service, because machine controllers usually cannot read from SharePoint. Move the files people read and approve: released drawings as PDFs, work instructions, quotes, inspection reports, and supplier documents. For CAD, leave working models in your product data management (PDM) vault, the system that controls revisions, and publish only the released revision to SharePoint. We sort every share into moves, stays, or connects, and fix file names SharePoint rejects, such as paths over 400 characters. Book the Health Check →
We have 400 hourly employees across two Cincinnati plants. Can we put an AI agent on our HR and safety policies, and what stops it from quoting an outdated policy?
Yes. A SharePoint or Copilot Studio agent (an AI assistant that answers only from content you point it at) can answer from one policy library. Three controls keep it accurate. It reads only a library where each policy has an owner, an approval status, and a review date. Each answer cites the document it came from. It sees only what the asking person can already open. Superseded versions move to an archive the agent cannot read. We also write a set of test questions and rerun them monthly. Questions it cannot answer go to HR, and it gives no legal advice. Agent licensing varies, so we confirm it in the Health Check. See our AI agent practice →
After a ransomware scare, our Cincinnati IT lead wants files off the office file server. Does SharePoint recover better, and what can still go wrong?
Usually yes, with limits. SharePoint keeps version history, a two-stage recycle bin that holds deleted items for 93 days, and a Restore this library option that rolls a library back to a point within the last 30 days. What can still go wrong: the sync client can copy a deleted or encrypted state to many laptops, and one compromised administrator account can delete a great deal at once. Recovery depends on how fast someone notices. We check sign-in protection, sync settings, and restore tests, and add Microsoft 365 Backup or a third-party backup when you need history longer than 30 days. Book the Health Check →
