Their sales team would send Word documents, collect customer information like name, credit requirements, etc. and then manually enter that their data into multiple systems, and request Allianz to get credit, which took nearly 2 hours per approval. They needed a more streamlined, systematic solution to free up time for their employees to focus on more strategic tasks.

Customer Registration Trigger
When a new customer comes in, now the sales team simply types “Registration Form” in the Teams bot, which generates a quick Adaptive Card to collect the customer’s email address.
Automated Email
Power Automate takes over from there—sending the customer an email with attached Microsoft form to gather their details and credit needs. No more waiting for responses or dealing with back-and-forth communication.
Notifying & Salesperson Assignment
Once the customer completes the form, both the sales & customer service departments receive instant notifications via Teams/Outlook. The system automatically assigns a salesperson based on availability, ensuring a quicker response.
Credit Requirement Review
The customer service rep simply types “Customer Onboarding” in Teams, and an Adaptive Card appears with a list of pending customers.
This process moves further if the customer has opted yes for credit requirement. The credit requirements are reviewed, and the customer rep adds any additional information, if needed, and submits it for approval. Power Automate sends an email request to the Account Rep (AR) for further review.
Account Rep Approval
The AR reviews and can make comments in case of any credit adjustments directly within the same email thread via an attached comment box. The process remains organized and centralized. Once the AR is satisfied, the bot sends the request to Allianz for the final credit check.
Update in the ERP
After approval from Allianz, Power Automate notifies the account manager via email and automatically updates the Infor M3 ERP system with the approved credit details. This ensures real-time accuracy in customer records without any manual steps.
