The sales team would send a Word document for customers to fill in, then manually re-enter the information into the M3 ERP system. Customer Registration Trigger
Whenever a new customer is identified, the sales team has to collect all the information about the customer.
We made this process easy by creating a Team Adaptive card. Now the salesperson only has to open the Teams bot and type “Registration Form”, the bot displays an Adaptive Card prompting the user to enter the customer’s email.
Onboarding Process
Now, to add further information the salesperson needs to type “Customer Onboarding” in the Teams bot and they will receive an Adaptive Card with pending customers list.
After selecting the customer, they can review the information added by the customer and add any extra information required, like their credit requirements, etc.
1. Customer Registration Trigger
Whenever a new customer is identified, the sales team collects all the information about the customer.

2. Automated Email
On submission, an email containing a Microsoft Form is automatically sent to the customer based on a predefined email template.
The form asks for all the basic details and the credit requirements of the customer.
3. Form Submission
Once the customer fills out the form, both the user and the sales team receive notifications (Outlook/Teams). The customer’s information is automatically saved in a database, removing the need for manual intervention.
Salesperson Assignment
Now instead of emailing and assigning a customer representative manually, with the help of Power Automate a salesperson is automatically assigned based on their availability and gets notified via Teams or email.
4. Onboarding Process
Now, to add further information the salesperson needs to type “Customer Onboarding” in the Teams bot and they will receive an Adaptive Card with pending customers list.
After selecting the customer, they can review the information added by the customer and add any extra information required, like their credit requirements, etc.
5. ERP System Update
Here, Power Automate helps the customer reps in the most repetitive & time-consuming task – copy/pasting data from the forms/docs to the Infor M3 ERP. The system automatically transfers all collected data (from both the customer service & sales team) into the Infor M3, eliminating manual data entry.
6. Final Notification
Everyone is notified based on the predefined members when the ERP update is complete, allowing for the AR team to move in and conduct the next steps.
